LATI-TUDE Travel
Booking & Cancellation Policy
LATI-TUDE Travel journeys require advance planning and coordination with accommodations, transportation providers, safari operators, guides, activities, and other travel service providers. Reservations and financial commitments may need to be made well before a journey begins.
Because these arrangements are made specifically for each traveler and may involve non-refundable commitments, LATI-TUDE Travel maintains the following booking and cancellation policy.
1. Booking Your Journey
LATI-TUDE Travel journeys require advance planning and coordination with accommodations, transportation providers, safari operators, guides, activities, and other travel service providers. Reservations and financial commitments may need to be made well before a journey begins.
LATI-TUDE Travel coordinates travel arrangements using independent accommodations, transportation providers, safari operators, guides, activity providers, and other local service providers. The specific services included in a journey are provided by the applicable service providers identified or arranged by LATI-TUDE Travel. LATI-TUDE Travel does not itself operate every travel service included in a journey.
Because arrangements are made specifically for each traveler and may involve advance commitments to third-party providers, LATI-TUDE Travel maintains the following booking, payment, and cancellation policy.
1. Booking Your Journey
A journey is not confirmed until LATI-TUDE Travel has accepted the booking, received the required payment, and completed the necessary booking documentation.
The applicable payment schedule and deadlines will be provided with the booking confirmation for the selected journey.
For journeys booked more than 90 days before departure, the standard payment schedule is:
Initial Booking Payment — 30%
Due upon booking confirmation.
Second Payment — 30%
Due 90 days before departure.
Final Payment — 40%
Due 45 days before departure.
Full Payment Option
Travelers may elect to pay the full journey price at the time of booking rather than use the installment payment schedule.
For bookings made within 90 days of departure, an accelerated payment schedule applies:
Bookings made 46–90 days before departure
60% of the total journey price is due at booking, with the remaining 40% due 45 days before departure.
Bookings made 45 days or less before departure
100% of the total journey price is due at booking.
All payment deadlines are based on the scheduled departure date for the selected journey. Payment amounts and applicable deadlines will be stated on the traveler's booking confirmation and payment request.
Upon confirmation of the booking and receipt of the required payment, LATI-TUDE Travel may begin coordinating and securing accommodations, transportation, local services, reservations, itinerary planning, and other arrangements associated with the selected journey.
Except where a refund, credit, or other remedy is expressly provided by the applicable Booking Agreement or required by applicable law, payments are non-refundable once received.
2. Payment Deadlines and Booking Status
Travelers are responsible for making all required payments by the deadlines stated in their booking confirmation.
Failure to make a required payment by the applicable deadline may result in cancellation of the booking.
LATI-TUDE Travel is not obligated to continue holding accommodations, transportation, activities, reservations, or other arrangements after a payment deadline has passed.
Any payments already received remain non-refundable, subject to the applicable Booking Agreement and applicable law.
A payment deadline may not be extended unless LATI-TUDE Travel agrees to an extension in writing. Any approved extension does not alter the non-refundable nature of payments already received.
3. Traveler Cancellation
If a traveler cancels a journey for any reason, payments already made to LATI-TUDE Travel are non-refundable, except where a refund, credit, or other remedy is expressly provided by the applicable Booking Agreement or required by applicable law.
Traveler cancellation includes cancellation resulting from, but not limited to:
Illness or injury
Personal or family circumstances
Change of plans
Missed or delayed flights
Changes in employment
Financial circumstances
Weather-related travel disruption
Failure to obtain required travel documents
Failure to meet applicable entry requirements
Failure to obtain required medical or emergency evacuation coverage
Any other circumstance affecting the traveler's ability or decision to travel
LATI-TUDE Travel's non-refundable cancellation policy applies because travel arrangements may be made specifically for the traveler and may involve advance financial commitments to independent third-party travel service providers.
Travelers who wish to protect themselves against the financial consequences of cancellation or interruption should obtain appropriate trip cancellation and interruption insurance before travel.
4. Non-Refundable Payments
Payments made toward a LATI-TUDE Travel journey are non-refundable once received, except where a refund, credit, or other remedy is expressly provided by the applicable Booking Agreement or required by applicable law.
LATI-TUDE Travel may make advance financial commitments to accommodations, transportation providers, safari operators, guides, activities, local service providers, reservations, and other travel arrangements.
These commitments may be made specifically for the traveler and may be subject to cancellation terms imposed by the applicable third-party provider.
A traveler cancellation does not automatically entitle the traveler to recover amounts that LATI-TUDE Travel has committed toward the traveler's journey.
The non-refundable nature of payments applies regardless of whether a traveler later chooses or is unable to travel, subject to the applicable Booking Agreement and applicable law.
5. Changes to Your Journey
LATI-TUDE Travel makes reasonable efforts to operate each journey as described. However, itineraries may require reasonable changes because of availability, weather, transportation schedules, operational requirements, safety considerations, government requirements, or other circumstances affecting the journey.
When reasonably possible, LATI-TUDE Travel will provide an alternative of comparable nature and quality.
Changes to an individual accommodation, transportation arrangement, activity, guide, service provider, or other component do not automatically create a right to a refund.
If a significant portion of a journey cannot be provided, LATI-TUDE Travel will communicate the circumstances and available options to the affected traveler.
Any refund, credit, alternative arrangement, or other remedy available in connection with a significant itinerary change will be determined according to the circumstances, the applicable Booking Agreement, the terms applicable to the affected travel services, and applicable law.
6. Travel Service Providers and Local Partners
LATI-TUDE Travel coordinates journeys using independent accommodations, transportation providers, safari operators, guides, activities, and other travel service providers and local operating partners.
These providers are responsible for performing the services they provide in accordance with their respective operations, qualifications, licenses, permits, and applicable local requirements.
LATI-TUDE Travel may arrange services directly or through these independent providers and partners.
If a particular provider or service becomes unavailable, LATI-TUDE Travel may arrange a comparable alternative when reasonably possible.
The unavailability or substitution of a particular provider, accommodation, vehicle, guide, activity, or other individual service does not automatically entitle the traveler to a refund.
7. LATI-TUDE Travel Presence During a Journey
On select itineraries, LATI-TUDE Travel personnel may be present during portions of a journey to provide traveler support, coordination, communication, and liaison assistance.
When present, LATI-TUDE Travel personnel do not replace the independent local guides, drivers, safari operators, activity providers, or other service providers responsible for delivering the applicable travel services.
The presence of LATI-TUDE Travel personnel does not change the independent nature of the local service providers or make LATI-TUDE Travel the operator of services performed by those providers.
8. Cancellation or Significant Changes by LATI-TUDE Travel
LATI-TUDE Travel makes reasonable efforts to operate each scheduled journey as planned.
If LATI-TUDE Travel must cancel a journey before departure, or if circumstances require a significant change to the journey, LATI-TUDE Travel will communicate the situation and available options to affected travelers.
Depending on the circumstances, available options may include:
An alternative departure date
A comparable alternative journey
A modification to the itinerary
A credit or other arrangement
A refund or other remedy where provided by the applicable Booking Agreement or required by applicable law
Any refund, credit, alternative arrangement, or other remedy offered or required in connection with a cancellation or significant change by LATI-TUDE Travel will be determined according to the circumstances, the applicable Booking Agreement, the terms applicable to affected travel services, and applicable law.
LATI-TUDE Travel does not guarantee that every amount paid to third-party travel service providers will be recoverable. However, the availability or non-refundability of amounts paid by LATI-TUDE Travel to third-party providers does not, by itself, determine the traveler's rights under the applicable Booking Agreement or applicable law.
9. Circumstances Beyond Our Control
Travel may be affected by circumstances beyond the reasonable control of LATI-TUDE Travel or its travel service providers.
These may include:
Natural disasters
Severe weather
Government actions or restrictions
Civil unrest
Transportation disruptions
Airport closures
Public health emergencies
Political or security events
Acts of nature
Other extraordinary circumstances that make travel or performance of the itinerary impossible, unsafe, or impracticable
LATI-TUDE Travel will make reasonable efforts to assist travelers and modify arrangements when practical and appropriate.
Circumstances beyond the reasonable control of LATI-TUDE Travel do not automatically create a right to a refund.
Any available refund, credit, alternative arrangement, or other remedy will be determined according to the applicable Booking Agreement, the circumstances involved, applicable third-party terms, and applicable law.
Travelers are strongly encouraged to obtain trip cancellation and interruption insurance that may provide protection for covered circumstances.
10. Travel Insurance
Travel insurance is not included in the price of the journey and is not required by LATI-TUDE Travel.
However, LATI-TUDE Travel strongly recommends that travelers obtain appropriate trip cancellation and interruption insurance.
Travel insurance may provide protection for covered circumstances including:
Trip cancellation
Trip interruption
Travel delays
Lost or delayed baggage
Certain medical expenses
Other covered travel-related losses
Travelers who choose not to purchase trip cancellation and interruption insurance accept responsibility for financial losses resulting from cancellation, interruption, delay, or other circumstances that are not otherwise recoverable.
Insurance coverage, eligibility, exclusions, limits, claims, and reimbursement decisions are determined solely by the traveler's insurance provider. LATI-TUDE Travel does not guarantee that any particular loss or circumstance will be covered by an insurance policy.
11. Required Medical and Emergency Evacuation Coverage
Appropriate medical and emergency evacuation coverage is required for all LATI-TUDE Travel guests.
Travelers are responsible for obtaining coverage that applies to Tanzania and all destinations included in their itinerary and remains valid for the full duration of the journey.
Coverage should provide appropriate protection for emergency medical treatment and emergency medical evacuation.
Travelers are responsible for reviewing their policy carefully to confirm that the coverage meets their individual circumstances and the requirements of the journey.
Additional information is provided on the LATI-TUDE Travel Medical & Travel Insurance Requirements page.
12. Traveler Responsibilities
Travelers are responsible for:
Providing accurate traveler information
Maintaining a valid passport
Obtaining required visas and travel documents
Meeting applicable entry requirements
Obtaining required medical and emergency evacuation coverage
Reviewing recommended trip cancellation and interruption insurance options
Meeting all payment deadlines
Informing LATI-TUDE Travel of relevant dietary, accessibility, or other travel requirements
Following reasonable safety and operational instructions during the journey
Failure to meet these responsibilities does not create a right to a refund.
13. Travel Documents and Entry Requirements
Travelers are responsible for ensuring that they possess all travel documents required for their journey, including a valid passport, visas, permits, health documentation, and any other documents required by applicable authorities.
Entry requirements may change. Travelers should verify current requirements with the appropriate government authorities and other official sources before departure.
LATI-TUDE Travel may provide general travel information, but travelers remain responsible for determining and satisfying the requirements applicable to their individual circumstances.
Failure to obtain or maintain required travel documents or meet applicable entry requirements does not create a right to a refund, subject to the applicable Booking Agreement and applicable law.
14. Personal Expenses and Excluded Costs
Unless specifically stated as included in the selected journey or booking confirmation, travelers are responsible for their own personal expenses and other costs not included in the journey price.
These may include airfare to and from Tanzania, personal purchases, optional activities, alcoholic beverages, certain meals or beverages, baggage fees, visa fees, travel insurance, medical expenses, and other incidental expenses.
The inclusions and exclusions applicable to a specific journey will be provided in the applicable journey description, booking confirmation, and Booking Agreement.
15. Acknowledgment of Payment and Cancellation Terms
By making a payment toward a LATI-TUDE Travel journey, the traveler acknowledges that:
The applicable payment schedule and deadlines have been provided or made available to the traveler.
Payments are non-refundable once received, subject to the applicable Booking Agreement and applicable law.
LATI-TUDE Travel may make advance financial commitments to independent third-party travel service providers to arrange the journey.
Some travel arrangements may not be recoverable if the traveler cancels.
Trip cancellation and interruption insurance is strongly recommended.
Required medical and emergency evacuation coverage must be obtained by the traveler.
The traveler is responsible for understanding the terms, limitations, exclusions, and requirements of any insurance policy they purchase.
The traveler is responsible for meeting all payment, documentation, entry, and other requirements applicable to the journey.
